The short answer: to use Claude for business operations, choose a plan that fits your team, set up one Claude Project loaded with your business context, then build a handful of repeatable workflows such as inbox triage, meeting notes and SOP drafting. Start small, review everything it produces, and check your privacy settings before you add client data.
Founders often tell me on discovery calls that they have "tried AI" and it was forgettable. Usually they opened a blank chat, asked a vague question and never went back. That is not using Claude for operations. That is window shopping.
This guide covers what Claude is, which plan to pick, how to set it up, what to automate first and which mistakes to skip.
What is Claude?
Claude is an AI assistant made by Anthropic, an AI safety and research company. You talk to it in plain language, and it can draft, summarise, organise, analyse and plan. For a small business, that makes it a very capable operations assistant for the written, repeatable parts of running things.
What it is not: a mind reader, a replacement for your judgement, or a magic fix for a messy business. Claude works best with clear context and a clear job.
Which Claude plan does a small business need?
Most solo founders start on Pro, and small teams who want to share work usually look at Team. At the time of writing, Anthropic lists Free, Pro and Max plans for individuals, and Team and Enterprise plans for organisations (Claude plans and pricing).
| Plan | Who it suits | Worth knowing (at the time of writing) |
|---|
| Free | Trying Claude out | Projects capped at up to 5 |
| Pro | Solo founders using Claude most days | $20 per month billed monthly, or $17 per month billed annually |
| Max | Heavy daily users | From $100 per month, with more usage than Pro |
| Team | Teams of 2 to 150 who want shared Projects and admin controls | Standard seats from $20 per seat per month billed annually, or $25 billed monthly |
| Enterprise | Larger organisations with compliance needs | Adds controls such as SCIM, audit logs and custom data retention |
Prices and features change, so always check the pricing page before you buy. According to Anthropic's help centre, the Team plan requires a minimum of two members and adds centralised billing, admin tools and connectors to tools like Google Drive and Gmail (What is the Team plan?).
My rule of thumb: just you, start on Pro. A VA or team sharing Projects, look at Team.
How do you set up a Claude Project for your business?
A Claude Project is a self-contained workspace with its own chats, uploaded files and instructions, so Claude always starts with your business context. Anthropic describes Projects as workspaces "with their own chat histories and knowledge bases" (What are projects?).
Here is the setup I recommend for a first Project:
- Name it plainly. "Business Ops" or "[Business name] HQ". You should know what goes in it at a glance.
- Write project instructions. Three to five lines on how you want Claude to behave here: your spelling preference, tone, how long answers should be, and "ask me questions if anything is unclear".
- Upload your context documents. See the list below.
- Add a prompt library. A single document of prompts you reuse. My 10 Claude prompts every small business owner should save is a ready-made starting point.
- Test it. Ask Claude to summarise your business in five lines. If it is off, fix your context docs.
What documents should you upload to a Claude Project?
Upload short, current documents that explain how your business works. Quality beats quantity.
- About the business: what you do, who for, your offers, your positioning.
- Tone of voice: how you write, words you use, words you never use, and two or three examples.
- Services and boundaries: what is included, what is not, standard turnaround times.
- Key processes: any SOPs you already have. If you don't have any yet, how to write an SOP your first hire can actually follow will help.
- Current priorities: what you are focused on this quarter. Update it when things change.
Leave out sensitive client records unless you have checked your settings (more on that below).
What are the first 5 operations workflows to set up in Claude?
The best first workflows are the ones you repeat every week and secretly dread. These five are a good start for most small businesses.
- Inbox triage. Paste in the day's emails and ask Claude to sort them into "needs me today", "this week" and "FYI". Then ask it to draft replies to the urgent ones in your voice.
- Meeting notes to action items. After every call, paste your notes or transcript and ask for decisions, actions with owners and dates, and a recap email.
- SOP drafting. Record yourself doing a task, transcribe it, and ask Claude to turn it into a step-by-step SOP. Tell it to flag gaps rather than guess.
- Weekly planning. Every Monday, give Claude your task list, fixed commitments and available hours. Ask for your top three priorities and what to drop or delegate.
- Content and client comms. Repurpose one piece of content into several formats, or draft proposals and follow-ups from your notes.
Some tasks still need a human. AI or a person? How to decide who gets each task walks through how to tell the difference.
Is Claude useful for ADHD founders?
Claude can be a practical support for founders with ADHD because it is good at turning mess into structure: brain dumps into task lists, long threads into short summaries. It does not replace medical or professional support. If you want a quick sense of where the gaps are first, try the ADHD founder's 10-minute operations audit.
How do you keep client data safe when using Claude?
Keep client data safer by checking your plan's data settings, sharing only what the task needs, and reading Anthropic's privacy information before you start. No tool is risk-free, so treat this as a habit, not a one-off.
What Anthropic's help pages say, at the time of writing:
- On consumer plans (Free, Pro and Max), there is a privacy setting called "Help Improve our AI models" under Settings, then Privacy, which you can switch off (how to change your model improvement settings).
- Anthropic notes that some data may still be used in specific cases, such as conversations flagged for safety review or feedback you submit with the thumbs up or down buttons (Is my data used for model training?).
- The pricing page lists model training as "None by default" for Team and Enterprise (Claude pricing).
Practical habits I recommend:
- Remove what you don't need, and anonymise where you can. "Client A" works just as well for drafting.
- Check your client contracts for rules about third-party tools.
- If you work in a regulated area, get proper advice before putting client data into any AI tool.
What are the most common beginner mistakes with Claude?
The most common mistakes are giving Claude too little context, trusting the first draft and trying to automate everything at once. All three are easy to fix.
- Vague prompts. "Write a proposal" gets a generic proposal. Tell Claude who it is for, what you are offering and what format you want.
- Starting every chat from scratch. If you are re-explaining your business every time, you need a Project.
- Not reviewing the output. Claude can sound confident and still be wrong. Check facts, figures and anything client-facing.
- Automating a broken process. If a process is messy, Claude will make a faster mess. Fix the process first. The small business operations checklist is a good place to spot what needs tidying.
- Doing too much in week one. Pick one or two workflows, get them working, then add more.
What should your first week with Claude look like?
Your first week should be about one Project, one or two workflows and a lot of small tests. Here is a simple plan.
| Day | Focus | Time | Outcome |
|---|
| Monday | Choose your plan, create a "Business Ops" Project, write project instructions | 30 minutes | A workspace ready to use |
| Tuesday | Write and upload your "about the business" and tone of voice docs | 45 minutes | Claude knows who you are |
| Wednesday | Try inbox triage on today's emails | 20 minutes | Your first time-saving workflow |
| Thursday | Run meeting notes to action items after a call | 15 minutes | A recap you didn't have to write |
| Friday | Draft one SOP from a recorded walkthrough | 30 minutes | Your first documented process |
| Weekend | Check privacy settings, save your best prompts to the Project | 15 minutes | A setup you can reuse next week |
Times are rough guides. If Tuesday takes longer, that is normal.

Frequently asked questions
Can I use Claude for free in my business?
Yes, the Free plan lets you try Claude and create a small number of Projects. If you use it most working days, you will likely hit usage limits, which is when a paid plan makes sense. Check the official pricing page for current limits.
Do I need technical skills to use Claude?
No. You type in plain language, the same way you would brief a new assistant. The skill that matters most is explaining clearly what you want, which is a business skill, not a technical one.
Can my VA or team use the same Claude Project?
On the Team and Enterprise plans, Projects can be shared with colleagues, according to Anthropic's help centre. On individual plans, Projects are for your own account. If shared context matters, the Team plan is worth comparing.
How is a Claude Project different from a normal chat?
A normal chat starts with no knowledge of your business. A Project keeps your uploaded documents and instructions in place, so every chat inside it starts with that context. It saves you re-explaining yourself every time.
Will Claude replace my VA or OBM?
Claude handles drafting, summarising and organising well, but it does not own outcomes, chase people or make judgement calls about your clients. Most businesses get the best results when Claude supports the people doing the work rather than replacing them.
How long does it take to set Claude up properly?
A basic Project with context documents can be ready in an afternoon. Getting workflows to feel natural usually takes a few weeks of regular use and small tweaks. That is why the first-week plan above keeps each day short.
